1. The service and the parties
AccessibilityPDF is operated by Martin Schrammel AB, 559591-7377, Björnsonsgatan 147, 168 43 Bromma, Sweden. martin@accessibilitypdf.com.
The customer is the business or organisation ordering the service. The representative must be authorised to act for it. The online service is for professional use. Martin Schrammel is responsible for delivery; software and AI assist the work, followed by technical checks and human review.
2. Free assessment and contract formation
The selected files stay on your device until you accept the upload terms. For documents without personal data, you can accept the upload terms without a DPA or contact details. If your documents contain personal data, provide your organisation and contact details and accept the DPA before uploading. AI reviews document text and page images to assess whether the file fits the service before we offer a fixed quote. Code calculates the price. This authorises storage and assessment for a free quote; it does not place a paid order. Once accepted, the DPA covers both the free assessment and paid work.
A service order is placed when you approve the combined quote and confirm the email link. We review the source and confirm the schedule. If we cannot complete the agreed work, we cancel without a charge, or propose a change for your express approval. We never increase the agreed net price without that approval.
3. What the price includes
The standard service adapts the existing PDF structure: headings, reading order, lists, tables, document language, navigation and text alternatives where applicable. It includes a separate review, a PDF sample, the completed PDF and a check report. The technical target is PDF/UA-1; any additional standard, version or requirement must be agreed in writing.
Translation, factual correction, visual redesign, OCR/proofreading of scans, interactive form remediation, electronic signatures and specialised reporting formats such as ESEF/iXBRL are outside the standard scope. A technical check is not a certification or a legal determination about your publication. Remaining limitations are disclosed before payment; a material change of scope requires your approval.
4. Quotes and timing
Each PDF may contain at most 50 pages and 25 MB. A batch can contain up to 5 documents. The quote is calculated from the uploaded version and automatic rules for page count, text, images and graphics, with a minimum price per order. Prices are in the currency selected for the quote, excluding VAT. We use fixed local price lists rather than a live exchange rate. The accepted net amount and currency remain unchanged at payment; the order minimum applies once to the complete order. Quotes expire after 24 hours. Applicable tax and the final total are shown before payment. A fixed quote is available only after the AI scope assessment is complete. Uncertain or unsupported documents require further review before an order can be placed. This preflight does not establish full accessibility compliance. The immediate amount is a preliminary estimate, conditional on the documents fitting the service. It cannot be accepted as an order. You expressly approve the fixed price after the scope assessment.
Dates shown with a quote are estimates in business days, counted Monday to Friday. The confirmed schedule depends on document complexity and timely answers to questions. We tell you about a delay and agree a revised date. If you cannot accept it, you may cancel undelivered work without charge.
5. Review, payment and cancellation
You receive a representative PDF sample and a check report before payment. Review these, including limitations, and report any issues. The complete PDF becomes available after payment has been confirmed by Stripe. No subscription or recurring charge is created.
You can request cancellation before payment by emailing your order reference. We charge no cancellation fee in the standard online service and do not require you to pay for a result you decline. After payment, corrections and the guarantee below apply. A customer who chooses not to pay receives no licence to use our unpaid deliverable or preview as a finished publication; rights in the source remain theirs.
6. Thirty-day quality guarantee
Tell us within 30 days of paid delivery if the result does not meet the agreed requirements. Include the document, page and problem so we can investigate. We correct issues within scope without charge. If we cannot remedy the issue within a reasonable agreed time, or an agreed essential requirement remains unmet, we refund the fee paid for the affected document, including applicable VAT. A problem affecting the entire order entitles you to a full-order refund. Payment-provider processing time may affect when money arrives.
Changes to the source, new requirements and modifications made after delivery are outside this guarantee. This does not remove rights for breach of contract or rights that cannot lawfully be excluded.
7. Content, confidentiality and ownership
You retain ownership of your material and must have the right and lawful basis to provide it, including the authority required by any upstream controller. You grant us only the rights needed to assess, process, review and deliver it. We treat documents as confidential and do not publish them, sell their contents or use them to train models. We use the business AI services listed in the DPA with training and voluntary data sharing disabled.
Do not upload special-category personal data under GDPR Article 9, criminal-offence data under Article 10, credentials, payment-card numbers, identity-document copies, classified material or documents requiring EU-only processing. Contact us for a separate arrangement instead. Ordinary professional names, contact details and roles may be included under the DPA. Keep your original. After payment, you may use the delivered document for any lawful purpose.
8. Availability and storage
We may pause a job to address a security issue, unlawful instructions or unsupported content, and will explain the effect on delivery. Download completed files within the availability period in the order portal. Unordered source files expire after 24 hours; previews expire after 30 days if unpaid; paid files are available for 30 days after payment. Scheduled cleanup removes them. The DPA governs personal data and deletion throughout the supply chain.
9. Responsibility and disputes
We perform with reasonable professional care and remain responsible for our personnel and subcontractors. You review the content, provide accurate instructions and decide how to publish. Neither a successful validator result nor AI review replaces an assessment of legal obligations for your organisation.
For ordinary negligence, our aggregate liability for direct contractual loss is limited to the greater of the affected order fee and EUR 1,000. Neither party is liable for indirect loss such as lost profits. These limits do not apply to fraud, intentional misconduct, gross negligence, confidentiality or data-protection breaches, personal injury, or liability that cannot lawfully be limited. GDPR rights of data subjects and obligations to authorities are unaffected.
Swedish law applies, excluding conflict-of-law rules. First contact us to resolve a complaint. Disputes between businesses are heard by Stockholm District Court as first instance, subject to mandatory jurisdiction rules.
10. Versions and precedence
The accepted version is saved with the upload agreement and order. Later website changes do not retrospectively change an existing order. A specific written order agreement takes precedence over these general terms, while the DPA takes precedence for personal-data processing. Mandatory standard contractual clauses take precedence where applicable. The available language versions are intended to have the same meaning; the language selected when accepting governs, subject to mandatory law.
